How to Find a Replacement Tenant for Student Accommodation

Start by asking your accommodation provider to confirm its replacement process. Finding someone who likes your room is only one part of it: the person may need to meet eligibility requirements, complete a new booking and receive approval before you are released.
This guide covers the practical search and handover after replacement has been identified as an allowed route. It does not decide whether you have a separate right to cancel, give notice or end an agreement. Those questions depend on your contract, circumstances and the law where the property is located.
Get the process before advertising
Send the accommodation team your booking reference and proposed departure date. Ask for the current written process and the date on which your own responsibilities would end if a replacement is approved.
Settle these points before you offer anything to another student:
Who can qualify as a replacement, including any student-status requirements.
Whether there is a permitted replacement period or a minimum remaining stay.
Whether the room goes to your proposed person or returns to general sale.
What outstanding payments or charges need resolving.
How the replacement books and what confirmation you will receive.
The answers affect who you should look for. Advertising a room for three months is no help if the provider only accepts a replacement for a different period.
Use provider rules as examples rather than universal law
iQ’s February 2026 replacement-process document sets conditions for academic-year takeovers, excludes an existing iQ resident as a replacement and says the site team confirms the official release date. Unite Students’ policy treats replacement before and after the tenancy starts differently, with eligibility and provider approval important in both situations.
We checked these sources on 3 October 2026. Do not copy their conditions into a different provider’s booking. If a web FAQ and a policy document disagree, ask which terms apply to your agreement and request written clarification of any charge before proceeding.
Write an accurate room advert
Use the provider-approved dates, exact room type, rent and bill inclusions. State whether the kitchen and bathroom are shared and whether the replacement must be a student. Use your own accurate photographs or images you have permission to use, and identify a sample-room image if it is not your room.
A useful advert gives enough information for someone to rule the room in or out: city, building, room type, permitted dates, full price and the official booking route. Leave out unsupported promises such as “guaranteed approval” or “move in tomorrow”. You cannot promise a release or a move-in date that only the provider can authorise.
Keep passports, contracts with personal details, access codes and other residents’ information out of a public advert. A serious enquirer can complete identity checks directly through the provider’s approved process.
Find people through suitable channels
Ask whether your university or students’ union has a housing board and whether the provider has a waiting list or approved advertising channel. A course or student community can also help, provided its rules allow housing posts.
Give the same verified details in every advert. If the price or permitted start date changes, update the posts so people do not enquire on the basis of old information. Avoid collecting reservation money yourself; direct the prospective resident to the provider’s official booking and payment route.
You can answer questions about the room honestly without making the eligibility decision. Let the provider assess the applicant and explain what documents it needs. If someone cannot satisfy a required condition, do not suggest hiding their circumstances.
Keep approval and release separate
An interested person is not yet an approved replacement. An approved person may still need to sign, pay or complete other steps. Ask the provider what remains outstanding and keep a record of the answer.
Before treating yourself as released, obtain confirmation of the effective date, your final account and any remaining obligations. Do not stop payments or hand over keys simply because another person has agreed informally to move in. If you dispute an amount or the provider’s interpretation of your agreement, ask a university housing adviser or a qualified adviser for your UK nation to review it.
Arrange a documented handover
Agree the checkout time and the route for returning keys. The replacement may not be able to enter immediately after you leave; iQ’s published process, for example, allows time for room turnover. Plan your travel around the dates the team confirms.
Remove belongings, clean as required and record the room’s condition with dated photographs. Keep any checkout acknowledgement and ask how a deposit or overpayment will be dealt with under your terms. Do not privately promise the incoming resident that they will receive your deposit or take over your liability.
Finally, remove the adverts once the provider confirms completion. That prevents other students from spending time on a room no longer available.
If nobody suitable responds
Check whether the advert is accurate and whether the permitted dates are clear. Ask the provider about its own channels and waiting list. Do not invent a discount or promise a shorter contract unless the provider has agreed to it.
